Extract supplier quotes for NetSuite RFQs

Turn supplier PDFs and spreadsheets into a comparison the buyer can check, including the conditions below the price table.

A supplier sends a PDF with a neat price table and several conditions below it: freight is extra, the minimum release is 500 units, and the lead time starts after drawing approval. If your team copies only the table into NetSuite, the quote will look more attractive than the actual offer.

Supplier quote extraction should turn the whole response into information a buyer can compare. That includes the terms around the numbers, with a way to check the original wording. The following example shows what to capture and how to review it before updating your sourcing records.

Capture the commercial terms beside each price

Start with the supplier’s quotation reference and validity so the buyer knows which offer they are reviewing. Then associate each price with its item, quantity and unit. Conditions may apply to one line or the whole offer; retain that distinction.

For NetSuite procurement, capture supplier identity, quote reference, validity, currency and line-level scope. At line level retain quantity breaks, units, lead-time wording and exclusions. Keep missing values empty and flagged; do not translate “not stated” into zero.

Oracle’s RFQ entry reference defines the native sourcing context. Its award comparison includes commercial terms beyond rates. Use those native records where they fit, with document preparation before the buyer makes the decision.

Show the supplier’s wording beside the extracted value

Keep the raw supplier wording and the normalized value. That lets a reviewer inspect what the AI interpreted.

An extraction workflow should return the relevant page or spreadsheet cell with each interpretation. A reviewer cannot efficiently correct a number if the source remains buried in a long attachment.

Manufacturing bids often describe the required evidence in short phrases such as “material cert included” or “traceability extra.” AISC distinguishes material identification from traceability: identifying the grade and size is different from connecting a particular piece of steel to its mill test report.

Preserve the exact certificate or traceability requirement, whether the supplier included it, and any separate charge. If the buyer requested heat-level traceability but the supplier offered only a general certificate, label that as a scope question. Converting both phrases to a generic “certificates: yes” would make an incomplete bid look compliant.

Convert units before comparing suppliers

Use maintained units when converting pack prices. Keep currency conversion assumptions separate from the supplier’s quoted currency. Do not silently convert the whole offer using today’s rate and discard the original.

When one vendor quotes an alternative material, send it through technical clarification. The buyer should not compare its price against the specified material as though the scope matched.

In the vendor comparison, add excluded work where purchasing has a confirmed or estimated cost. For the PDF in our example, freight belongs in the comparison even though it was absent from the price table. If a cost remains unknown, show the uncertainty instead of manufacturing a precise ranking.

Review before writing to NetSuite

Map the reviewed values to the actual record fields your implementation supports. The buyer should be able to tell whether the response still needs review or whether an approved update failed to save. Those situations need different follow-up.

If a supplier sends a revision, compare changed terms rather than overwriting the original offer. A lower price with a longer lead time may be worse for the customer commitment. Keep the buyer’s chosen version attached to the award decision.

Frequently asked questions

Is supplier quote extraction the same as OCR?

OCR reads text. A useful procurement workflow also identifies line relationships, interprets commercial terms, checks units and prepares a comparison the buyer can approve.

Should missing freight be treated as included?

No. Mark it unresolved and ask for clarification. An omitted amount does not prove the vendor will deliver at no extra charge.

Can we automatically award the lowest extracted price?

Only under a narrowly defined buying policy that checks comparable scope and terms. For manufacturing requirements, technical fit, delivery and minimum commitments often need review before an award.
