NetSuite quote templates: setup and review checklist

Connect the estimate form to its print and email templates, then test that the customer receives the right specification and terms.

Your NetSuite estimate looks correct on screen, but the PDF leaves out a drawing revision or uses a different layout when emailed. The fix may be in the output template, its assignment to the transaction form, or the data available to it.

NetSuite distinguishes the form your rep uses to enter a quote from the print and email templates that produce the customer document. This guide explains how they connect, then what to include and test for a manufacturing quotation.

Our recommendation is to keep the approved commercial values on the transaction and render the customer document from them. Editing prices in a separate PDF creates another version to reconcile when the customer orders.

Connect the transaction form to the output template

With the relevant feature and permissions enabled, advanced templates appear under Customization > Forms > Advanced PDF/HTML Templates.

Under Customization > Forms > Transaction Forms, assign the print and email templates using the Advanced printing type. They can be different, so verify both.

For changes to the design, the template editor supports visual editing and source markup using FreeMarker-based syntax. Use a copy for development and test it before changing the form your team uses daily.

Include the information a buyer needs to accept the offer

Use this content outline with your NetSuite administrator. Map each value to the appropriate standard or custom field.

For a custom assembly, “per drawing” is too ambiguous if the buyer sent three revisions. Show the revision that your team actually reviewed. For a replacement part, distinguish the customer’s reference from your item number when both help the buyer verify the offer.

If the drawing revision is missing from the underlying estimate, a template change alone will not fix it. Capture the approved revision during quote preparation so the document can use it consistently.

Name document deliverables precisely when the customer requires them. AISC’s material-identification and traceability guidance distinguishes confirmation of grade and size from tracing a specific steel piece to its mill test report. “Certificates included” can conceal that difference.

For applicable steel work, let the scope identify the required certificate, traceability level and who will provide it. State any agreed exclusion beside the relevant item or scope section. Then test the PDF with that field populated, empty and long enough to wrap. The buyer should not have to infer a material-document commitment from an internal item note.

Test the cases that break printed quotes

Run a small document acceptance set. Include a single-line quote, a long multi-page quote and one with a very long item description. Add optional fields with no values and a transaction in another supported currency.

Check page breaks and repeated headers. Keep the line’s quantity, unit and price visually associated. A description that wraps onto another page should not make its price appear to belong to the next item. Confirm that the final page still includes the applicable terms.

Compare email output with printed output. If the document differs, check which template the form selects. Verify the currency label explicitly; a symbol alone may be ambiguous to an international buyer.

Generate revisions from the approved estimate

Retain the sent document and identify its revision in the customer communication. When a rep changes a quantity or exclusion, recheck the affected approval before generating a replacement document from the record. Do not quietly overwrite a PDF that the buyer may already be reviewing.

At order entry, the reviewer needs the version the buyer accepted. A later internal draft should not replace that evidence just because it has the newest timestamp.

AI can draft explanatory text or identify omissions. Keep binding commercial values tied to the approved record and have the appropriate owner approve new terms. Enforce that review in the workflow that generates the PDF.

Decide whether you need proposal software

If buyers need a clear itemized quote and an attached specification, test native templates first. Richer proposal assembly or customer interactions may justify additional quoting software. Specify the missing behavior—such as assembling technical material or collecting buyer responses—before adding another product.

Fix quote preparation as well as the document

If the approved fields are correct and you only need a better layout, use NetSuite’s native templates. Can I put a drawing revision on the customer quote?

First store or expose the approved value in your account, then include it in the output. Ask your administrator which supported field or data source the template should use. Do not invent a field identifier in a copied template.

Should AI generate the whole quote PDF independently?
