How to create a quote in NetSuite

Create a customer quotation with NetSuite’s Estimate transaction. Follow the native entry process, check the output and prepare for customer acceptance.

In NetSuite, a sales quote is an estimate. You use it to offer a customer products at stated prices and terms, then convert it to a sales order when the customer accepts. You do not need CPQ just to create this transaction.

Find the estimate entry screen

An administrator must enable Estimates. Oracle’s estimate overview lists Transactions > Sales > Prepare Estimates. Its detailed entry guide uses Opportunities > Transactions > Estimates > New. Your role and navigation may differ.

If you cannot find either, ask the administrator to check the feature and your role access. Do not enable purchasing RFQs to fix a missing sales quote screen; those serve supplier sourcing.

Select the customer and enter the item lines

The native form lets you select a customer, add item quantities and pricing, and specify details such as expiry and currency. Follow Oracle’s entry reference for the fields available in your account.

Before saving, check the commercial details below alongside your account’s required fields.

For example, a request for “12 cases” may require more than selecting quantity 12. Confirm the sales unit and case contents against the requested product. Retain the customer’s wording so the reviewer can see how you interpreted it.

Check the prefilled address and price against this request

A prefilled record reduces typing, but a default address or rate can belong to a previous transaction context. Ask the rep to compare the proposed values with the current request, especially on repeat business.

If the expected rate differs from the saved result, trace the customer pricing rule and item-specific rate before typing a custom override. An unexplained override can hide a data problem that will recur on every future quote.

Store the unresolved question separately from the proposed value. For example: “Customer requested previous project price; current agreement not found.” The approval workflow should send that decision to the pricing owner.

Review what the customer will actually receive

Generate the quote using the intended form and review the output. Check item descriptions, units, currency and exclusions. A correct internal record does not guarantee a clear customer document.

Oracle documents separate controls for email and Customer Center visibility in its estimate entry guide. Treat both as release paths. A draft awaiting approval should not become customer-visible simply because someone selected a communication option.

Test the quote template with long descriptions and multi-page output. Have a rep who did not prepare the quote read it against the request. They should be able to identify what you offered and what still needs clarification.

For production parts, review the agreed inspection scope before sending. First article inspection in IAQG 9102 is a defined process with documentation for aerospace products; it should not disappear into a generic promise that “inspection is included.”

Where the customer requires an initial sample or first article package, identify the deliverable, its price treatment and the approval needed before recurring production. Put one-time work on a distinct line or clearly described scope item as your setup permits. That helps the buyer distinguish the first supply from later repeat orders at the production unit price.

Compare the customer’s acceptance before creating an order

Before converting the estimate to a sales order, compare the customer’s acceptance or PO with the version you sent. Preserve the reference to the accepted quote and resolve any changed terms before release.

Frequently asked questions

Why can’t I see Prepare Estimates in NetSuite?

The feature, permissions and navigation depend on your account and role. Ask your administrator to check Estimates and your access. Oracle documents more than one menu path, so a missing label alone does not prove the feature is unavailable.

Can I create a quote without NetSuite CPQ?

Yes. Native estimates support sales quotations. Consider CPQ when you need controlled product configuration or associated capabilities, rather than merely to create the transaction.

Can I send the estimate directly to the customer?

NetSuite supports customer delivery of estimates. First confirm your approval process and the correct output form. Check portal visibility as well as email settings.

Should I fix a wrong quote price with a custom rate?

Use an override only with a known reason and the required authority. Investigate recurring discrepancies in pricing setup; otherwise each rep must keep correcting the same problem.
