A customer asks to repeat an earlier quotation, but this time a different company will place the order. The product history is useful; the earlier account and payment terms may be wrong for the new sale.

For SAP Business One quoting, an AI workflow should prepare the correct business-partner details as carefully as the item lines. This guide follows a repeat request with a changed buying entity, then explains how to test the result in the native sales quotation.

Establish which company will place and pay for the order

The buyer writes: “Please quote the same pump seals as quotation 812. This is for our new service company, not the original buyer. Reference: REPAIR-62.”

Find quotation 812 to identify the seals. Then resolve the new service company to the correct customer or lead record. Do not copy the old business partner simply because the same contact sent both requests.

Keep REPAIR-62 on the new draft and use the contact for this enquiry. If the company has not yet supplied enough account information, the rep can prepare the product lines while asking who will place the order and which billing details apply. That avoids forcing the team to choose between a wrong account and doing no preparation at all.

Create a sales quotation for review

SAP documents the sales quotation as a transaction without inventory or accounting postings. The later sales-order step has different consequences. Keep preparation, approval and conversion separate in your scope.

Confirm the supported interface for your installation, including user-defined fields. An AI-generated PDF is not a substitute for testing the actual transaction with your administrator.

Reuse the product evidence and check the new buyer’s terms

The history behind quotation 812 can identify a seal while the new request still requires a different customer account. Keep those decisions separate. The new service company may have different payment terms or pricing even when the same person sends the email.

SAP’s item master documentation distinguishes item settings relevant to selling and purchasing. Include the current item status in the check rather than treating presence in an old quotation as permission to sell it now.

If the request does not identify the new legal entity, ask the buyer to confirm that specific detail. Keep preparing the product lines while the account owner resolves who will place and pay for the order.

Review the header as carefully as the item lines

Include header accuracy alongside line accuracy in the pilot acceptance criteria. A correct part on the wrong customer account is not a successful quote. Track the reviewer time spent resolving identity and terms separately.

Include these inputs in your evaluation:

  • Provide sales quotation exports with header and line details.
  • Include business partner and contact references for the sample.
  • Add cases where the requesting company differs from the historical buyer.
  • Confirm your SAP Business One version, extensions, and the records and actions available through the native integration.

Include time spent resolving customer identity in the quoting cost calculation. A fast draft still leaves work with the account team if it cannot establish who is buying.

A buyer, invoice recipient and delivery site can be three different parties. In cross-border sales, the agreed delivery term and named place also affect which party handles import clearance. Treat a changed business partner as a commercial review, even when every product line remains the same.

Show the rep the original purchaser, the proposed new purchaser, bill-to address and ship-to address before saving the quotation. Have the account owner confirm whether the old price agreement applies to the new company. Keep that confirmation with the new quotation rather than modifying the historical customer record to make the copied transaction fit.
