RFQ automation for Sage X3

Prepare a revised Sage X3 quote when the customer changes the delivery site or asks to extend earlier terms, with the differences ready for review.

Your customer wants to repeat a Sage X3 quote for 24 pumps, but asks for delivery to Lyon instead of Lille and an extra month to accept. The old quotation gives sales a starting point. It does not establish the new freight cost or authorize the longer validity.

A useful automation should identify those changes, gather the information needed to price them and prepare a revision for review. We will follow that request through Sage X3’s quotation process and explain what the sales team should be able to check at each step.

Confirm the sales site and quotation settings

In its sales quote documentation, Sage identifies the sales site, customer and date in the quote header. It also covers customer references, revision management and approval before order conversion when quote approval is active. Ask your administrator which settings apply in your installation.

Prepare a short mapping sheet before implementation. Record the source of each required value, whether a default is safe and who can approve a change. Do not use the integration user’s defaults for every customer simply because the transaction accepts them.

Work through a changed repeat quote

Use this example request: “Repeat Q-2084 for 24 pumps, but deliver to Lyon instead of Lille. Hold the terms until next month.”

Keep the earlier quotation as evidence for the item match, with the date and scope of any concession. A rep may have approved special terms for Lille; that does not establish the price or freight terms for the new delivery to Lyon.

The new destination may also change which delivery service the customer needs. Record the receiving location, appointment requirements and unloading responsibility before reusing freight. Have sales compare the old offer and new request in a short decision record: changed destination, updated transport quote, any changed responsibility and the revised validity. If the carrier’s price expires before the customer’s acceptance window, ask the commercial owner what the offer should promise. Extending the quote date in Sage X3 does not extend the carrier’s commitment.

Save the revision in Sage X3 as well as the customer document

Preserve the buyer’s changed message and the draft revision it produced. The reviewer should see a before-and-after comparison, including any field that the integration recalculates.

Sage documents configurable revision history and price recalculation prompts when certain quote details change. Test the actual behavior in your transaction setup instead of editing only the exported PDF.

In the revised-quotation email, identify the replacement revision and explain its effect on price or delivery. Send it after the quote owner approves those changes.

Verify the saved quotation before sending or converting it

Start by preparing a quote for a reviewer. Add live writes only after the team can explain the draft and correct it. Test duplicate delivery of the same source request and a temporary failure after Sage accepts the transaction.

Record the accepted ERP quote identifier before retrying later steps. Otherwise, a failed customer email could trigger another quote creation.

Evaluate simple repeats separately from changed work

Use separate groups for unchanged repeats, changed delivery sites and expired terms. An overall average can hide substantial rework in the cases your experienced reps handle.

A pilot scorecard should retain the result for each group, including active review time and material corrections. Weight those groups by their share of normal workload when you estimate the capacity gain. Otherwise, a few easy repeats can make the whole project look faster than it is.

Should a repeat quote keep the previous price?

Only when current terms authorize it. Use the earlier quote to identify the product and prior agreement, then check validity, quantity and the new delivery context.

How do we test quote revisions?

Provide the original RFQ, an approved draft and a later quantity or destination change. Check the chosen revision, recalculated fields and customer-facing document. The reviewer should be able to trace every changed value.
